2.3.1.0.4: Sick Leave

Spalding University provides paid sick leave benefits to all eligible staff members for periods of temporary absence due to illnesses or injuries. 

All eligible, full-time faculty and staff members will be entitled to sick leave benefits at the rate of 12 days per year as of January 1 each year. This benefit will be pro-rated based on date of hire.  Part-time staff will receive six days per year. This benefit will be pro-rated based on hire date. All regular full-time staff have a maximum of twelve days per year that may be carried over at the end of the fiscal year. Effectively, this gives a staff member who has banked the maximum number of carryover days as many as 24 sick days in a calendar year (12 days/year plus 12 days carryover).  All regular part-time staff may carry over a maximum of six days per year that may be carried over at the end of the fiscal year.  This would give a part-time staff member as many as 12 sick days in a calendar year.  Full-time faculty are granted 12 sick days per academic year. 

An eligible employee may use sick leave benefits for an absence due to his or her own illness or injury, or that of a child, parent, grandparent, sibling, spouse, domestic partner, or parent-in-law of the employee. Employees who are unable to report to work due to illness or injury should notify their direct supervisor before the scheduled start of their workday, if possible. The direct supervisor must also be contacted on each additional day of absence or advised periodically of the expected duration of the illness or injury (e.g., an employee who has surgery does not have to notify the supervisor daily). If an employee is absent for three or more consecutive days due to illness or injury, a physician's statement may be requested to verify the illness or injury and its beginning and expected ending dates. Such verification may be requested for other sick leave absences as well and may be required as a condition to receive sick leave benefits. Before returning to work from a sick leave absence of 14 calendar days or more, an employee must provide a physician's verification that he or she may safely return to work. Sick leave benefits will be calculated based on the employee's base pay rate at the time of absence and will not include any special forms of compensation, such as incentives, commissions, bonuses, or shift differentials.  

Sick leave benefits are intended solely to provide income protection in the event of illness or injury and may not be used for any other absence. Unused sick leave benefits will not be paid out to employees while they are employed or upon termination of employment. All employees (staff and faculty), both exempt and non-exempt, are required to document their sick leave accurately and timely in keeping with the University’s approved timekeeping procedures. Failure to accurately record sick time may result in employee disciplinary action 

Sick leave benefits may also be used for medical appointments for a staff member or his/her spouse, child or parent scheduled during regular work hours with the prior approval of the department head and will be charged to sick leave time.
