1.4.17: Equipment Allocation and Peripheral Standards
Purpose
This policy establishes standardized guidelines for the allocation and use of computing equipment and peripherals for faculty and staff. The intent is to ensure consistency, fiscal responsibility, and equitable distribution of IT resources across the organization.
Scope
This policy applies to all Full-Time faculty and staff employees, regardless of employment classification or department.
Standard Equipment Allocation
Each faculty and staff employee is allotted the following standard IT equipment, provided by the institution:
- One (1) primary computing device, either:
- One All in One (AIO) desktop PC, or
- One laptop computer
- One (1) additional external monitor
- One (1) wired keyboard
- One (1) wired mouse
This standard allocation is intended to meet the majority of work-related computing needs.
Additional and Non-Standard Equipment
The following items are considered non-standard and are not covered under the institution’s standard IT equipment allocation:
- Additional monitors beyond the one allotted
- Wireless keyboards
- Wireless mice
- External webcams
- External speakers or other audio devices not integrated into the primary device
Any non-standard equipment must be purchased using the employee’s respective departmental budget, subject to departmental approval and applicable procurement processes.
Support for Additional/Non-Standard Equipment is limited to the discretion of the I.T. Department.
Laptop-Specific Guidelines
Employees who choose a laptop as their primary computing device acknowledge and agree to the following:
- The laptop’s built-in capabilities, including:
- Integrated webcam
- Integrated speakers must be utilized when required for work purposes (e.g., meetings, virtual instruction, conferencing).
- If a laptop user chooses to operate the laptop with the lid closed or elects not to use its built-in components, any required external devices (such as external webcams, speakers, or additional monitors) must be purchased through the departmental budget.
Monitor Usage Standards
Laptops are expected to be used in a manner consistent with All in One PC configurations:
- The laptop screen functions as the primary display
- The allotted external monitor functions as the secondary display
Requests for exceptions or additional displays must be justified by operational need and funded by the appropriate department.
Exceptions
Any exceptions to this policy must be approved by the IT Department in coordination with departmental leadership and may require documentation of business need and funding source.
Policy Compliance
Failure to comply with this policy may result in denial of equipment requests outside the defined standards or reassignment of costs to the appropriate department.
